While there is a slight misconception by Malaysians that hiring an Indonesian maid is quick and does not require much waiting time, the reality is that those who intend to hire a fully legal Indonesian maid with proper documentation must wait for a period. (2-3 months).

1st Step: Worker Application Procedure

The domestic worker goes through a thorough medical check at an Indonesian facility recognised by the Malaysian Ministry of Health, as well as a passport application and registration for a Labour Department ID. The domestic helper must be deemed “Fit to Work,” after the checkup in order for her to undergo a biometric registration.

Depending on the maid’s original residing location—very rural, semi-rural, or in an urban area with easy access to clinics—and the results of their medical examination, the timeline may take one to three weeks. Some workers may need to return for additional testing, or they may need to wait out a temporary cold or infection, or they may need to undergo additional testing. 2nd Step: Employer’s Part

To begin the application procedure for a domestic maid, the employer must gather the personal documentation that the Malaysian government authorities have set. Malaysian maid agencies would typically act as a guide for Malaysian employers as to what documents are required.

At Innovedge Maid Agency, we typically conduct a thorough document check to guarantee document completeness based on the hiring profile of the employer, particularly in rare circumstances where the employer might not have the typical supporting documentation.

3rd Step: JTK Submission

Once the documents of the employers are completed and sorted out by the maid agency, the maid agency would carry out the necessary steps. The maid agency of the employer would have to submit the employer’s documents to the Labour Department of Malaysia for scrutiny and approval.

4th Step: JTK Approval

Once submission is completed, the Labour Department typically takes a period of time to approve the application. This is because the JTK are responsible for checking if the employer’s documents are valid and the reason of hiring the maid is sufficient. Once approved, the JTK will issue a JTK Approval Certificate, and it is the maid agency’s duty to inform this to the employer.

5th Step: Immigration Submission

This step is where the maid agency will submit all relevant documents to the Immigration of Malaysia via their SMO online system. The submission of documents will typically be done in a few days by the maid agency. It is the result of approval that requires around 1 – 2 weeks of waiting time.

6th Step: Issuance of Employment Contract

The respective maid agency will then register the employer’s details and the maid’s details onto the Indonesian Embassy System. This will lead to the system to issue a standard employment contract for the parties involved to sign and agree to the terms within. Once done, the maid agency will submit it online to the Indonesian Embassy for approval.

7th Step: Calling Visa Approval and Issuance

Once the approval by the Indonesian Embassy has been granted, they will then issue a calling visa application to the Malaysian Immigration system for approval. This approval length typically take around 1 week and is subjected to the Immigration Unit’s efficiency. Maid agencies are responsible to follow up with the progress of the calling visa approval on behalf of the employer.

8th Step: Maid Departure and Arrival in Malaysia

Once the calling visa has been obtained, the maid agency of the employer will then arrange for the maid to finally depart to Malaysia, arranging the necessary exit procedure from their home country.

The maid must undergo a FOMEMA Medical Checkup once she arrives in Malaysia. The maid has to be deemed as ‘fit-to-work’ in order for her to legally begin her employment in Malaysia.
